Integration needs vary not only by carrier but also by message type: rating, tender, status, document, and invoice. Carriers often offer both API and EDI connectivity. Carrier networks typically shield their customers from the actual carrier integration method. Your vendor's integration choice should not hobble your TMS Control Tower.
Can you connect to the most accurate and efficient data source? For example, can you use API integration for rapid rating responses and EDI for accurate status information? Are status messages received through your visibility platform accurate or extrapolated?
The best method to connect to a carrier today is almost guaranteed to be second best tomorrow. It is easy to forget that carriers are evolving their own platforms. Their preferred integration method changes as their platform evolves. Your visibility platform provided reliable status information last year. This year, your operations team found that the carrier website had more current information on loads.
You need an integration broker, not just a method. More and more integration is brokering protocols: a status message may start as EDI, get transformed to JSON, and be submitted via API to your TMS. Or your TMS may use XML that gets converted to an EDI tender and delivered to a carrier.

Make sure your TMS implementation timeline accounts for the difference between a new integration with an existing carrier and a new integration with a new carrier. Do you have the information needed to request credentials? Most carriers require the customer’s account code to set up the proper integrations. If you have multiple divisions, your organization may have multiple accounts with the carrier. You may also need to set up an account before you can access carrier integration documentation. Also, have you defined your Standard Operating Procedures? How frequently should the carrier send status messages. What events should be reported?
These preparation steps aren’t hard, but they require more calendar time than expected causing your project to run behind schedule from the start.

What is their experience with your TMS or ERP system and release number? Do they understand the system APIs and which APIs to use given your system configuration and business rules?
Take inventory of your integration solutions. How old are they? Do they have modern interfaces? Can you quickly promote integration changes to production? Is the solution cost transparent and simple? If you are paying by the message, you may have to slow automations or integrations to stay under your committed contractual message limits or pay unbudgeted overage fees.
Does your vendor partner have the industry experience to understand your business and needs? Distribution, logistics, or manufacturing DNA is essential to speeding communications and resolving issues. A partner that understands your industry will be more effective and efficient than a partner who knows only the technology.
Your TMS strategy is incomplete if it doesn’t account for these four critical success factors.
